Permissions

Please see the below list of permissions that 3rd parties can request to access - further broken down into 'Read' (ingest CRM information) and 'Write' (pushes new or amended data into CRM)

Permission

Description

Applicants

Records data for potential buyers or renters, including their requirements, sources, and notes, linked to Contact or Company records.

Areas

Geographical locations defined by agents for their coverage area, specified using longitude and latitude coordinates.

Appointments

Diary data that includes appointment types, attendees, and inspection documents.

Certificates

Records data added into 'Safety Checks, Certificates, Insurance & Warranties panel', including the type, start/expiry, status and reference number.

Companies

Business organisations with which the agent maintains relationships. Companies can be assigned types corresponding to their roles (e.g., solicitor, supplier) and can participate in property transactions.

Contacts

Primary records with associated roles such as Applicant, Vendor, Tenancy, or Landlord. Includes personal details and marketing/communication preferences.

Conveyancing

Process for sales progression and transitioning accepted offers into completed property sales, including chain management as a sub-resource.

Documents

Storage for file asset details that can be assigned types indicating purpose (e.g., brochure) and associated with specific entities (e.g., property).

Enquiries

Potential sales or lettings leads (shown as Internet Registrations in the CRM) representing interest from prospects, such as viewing or valuation requests, which are reviewed by negotiators before conversion.

Identity Checks

Information collected to verify the identity of contacts or companies using primary and secondary identifiers with expiry dates and document links.

Invoices

Records of charges issued against properties, including monetary values such as net and outstanding amounts.

Journal Entries

Timestamped events relating to one or more entities that appear in various activity feeds within the CRM.

Keys

Property key information stored within the properties data structure.

Landlords

Records linked to contacts or companies wishing to rent properties, with potential one-to-many relationship with properties.

Negotiators

CRM users or agency staff members, including their name, job title, email address, and office association.

Offers

Records of monetary amounts proposed by applicants for sales properties, including submission dates, statuses, inclusions, exclusions, and conditions.

Offices

Branch information for an agency, including office details, manager, contact information, and address.

Properties

Comprehensive property record data including descriptions, notes, marketing materials, utilities information, keys, certificates, developments, and images such as EPCs, floorplans, and maps.

Property Alarm Data

Records data related to a property records alarm data, including; gategory, type, location, checks, service data & expiry dates.

Referrals

Records of contacts directed to third-party services offered through the agency, ranging from solicitors to removals companies.

Sources

Origin points for customer enquiries that can be associated with various CRM records such as applicants, landlords, and vendors.

Tasks

Action items for CRM users with specified dates, categorised by type and potentially related to other entities.

Telephony Notifications

Real-time CRM events that notify users when something has occurred, currently restricted to specific permissions.

Tenancies

Property lease agreements between landlords and tenants/applicants, including dates, utility readings, fees, and deposit details.

Transactions

Records of financial activities against properties, including lettings transactions and works orders.

Vendors

Records of contacts or companies selling properties, with each vendor associated with a specific property, including selling reason and source.

Works Orders

Maintenance job records for lettings properties, typically reported by landlords or tenants and assigned to supplier companies once approved.
